Antifraud Systems for Digital Contracts: How It Works

A system that is capable of blocking suspicious contracts from the beginning can be a game-changer for companies, not just to protect them from fraud, but also to provide a higher level of transparency, operational control, and regulatory compliance.

This is why Apparound developed its new antifraud system: an intelligent monitoring engine for contracts with digital signatures. It identifies suspicious activities and helps back-office teams verify documents.

Let’s take a closer look at how it works, what the advantages are, and how it can work as a valuable tool for digital sales processes.

What Does the New Antifraud System Include?

At the heart of this new feature is an automated verification engine for signed contracts. Its configuration rules can be set and adjusted using an intuitive, and entire ‘code-free’ interface. There’s an additional area reserved for viewing contracts that have been flagged for anomalies that are awaiting validation.

The goal is to block suspicious and fraudulent activity before the contracts generated move forward and enter company systems.

Custom Controls Fit to Company Needs

Each company is free to define its own verification rules. The following are some of the more common settings used:

  • Personal and contractual data,

  • Supply data,

  • Number of contracts generated in a given period of time,

  • Clients considered “vulnerable” according to internal policies,

  • Process timing, in line with commercial codes of conduct,

  • Electronic signature location.

If necessary, each rule can be applied to single CPQs or business areas and can be activated or deactivated with a click. Additionally, each anomaly can be classified by severity level, separating manageable cases from blocked ones.

Simple, Clear, Traceable Validation Workflow

Once a contract is signed, it is processed by the anti-fraud system. If no anomalies are identified, the document will be considered valid and will proceed into the integrated business systems and saved according to regulations. If that is not the case, it will be assigned the ‘Pending Validation’ status. Then, the validation user will receive a notification and can view the details about the anomaly directly from the platform. After analysis, he/she can decide whether to:

  • Validate the contract, allowing it to continue following standard procedures.

  • Invalidate it, blocking it from being transmitted and nullifying next steps.

All of this is handled using a simple interface with clear status markers that can be easily monitored, even by sales reps or external partners in dedicated areas of the platform, like the Sales Tracker and Reseller Portal.

Full Integration with Downstream Systems

The antifraud system was developed to natively integrate with ERPs, CRMs, and storage systems.

Thanks to these integrations, it’s possible to:

  • Transmit any change in validation status to downstream systems,

  • Transfer a set of contract data in real time,

  • Manage document transmission to storage systems immediately after they have been signed.

Why Implement an Anti-Fraud System?

Having a proactive approach to security means, first of all, reducing operational risks. But that alone is not enough; it also requires adopting more solid and transparent business processes that are compliant with internal regulations and current laws.

There is also a competitive advantage: the capability to automate controls, without sacrificing flexibility. The backoffice team maintains full control over suspicious activity, intervening only when it is really necessary. Plus, business systems are then working with cleaner, more reliable data.

Conclusion: More Control, More Trust, Less Risk

Apparound’s new antifraud system offers a concrete solution to the need for control and security in sales operations. It not only helps prevent critical issues, but builds trust—inside the business, and among stakeholders.
